Recognize your VIP/repeat customers by phone number (Known Clients)

Your best customers should never feel like strangers when they call. The Known Clients list lets Riley recognize a caller by phone number the moment the call connects - and, if you assign an account manager, route them straight to the person who knows their orders. Add a known client

  1. Open https://km-florist-receptionist.vercel.app/dashboard/shop?tab=known-clients.
  2. Click Add client.
  3. Enter the client name and phone number. The number is what Riley matches on, so use the number they actually call from.
  4. Optionally, add an account manager name and phone. This is the teammate who owns the relationship - a wedding coordinator, the owner, whoever handles this client's work.
  5. Save the entry. It appears in the list below.

What happens when a known client calls

When a call arrives from a number on the list, Riley recognizes the caller immediately. If you have assigned an account manager, Riley can route the call to that person instead of handling it generically - the corporate client who orders weekly lobby arrangements goes straight to the teammate who manages their account.

You can also have Riley greet known callers by name. That setting lives in the Opening line studio (https://km-florist-receptionist.vercel.app/dashboard/greeting) under Known-caller greeting, with three modes: Off, Greet by name, or Name plus a gentle event check. Managing the list

  • Remove - each client row has its own remove control for when a relationship ends or a number changes.
  • Clear all - wipes the entire list at once. Use with care; there is no way to bring back a cleared list except re-adding everyone.

Who belongs on this list

You don't need every customer here - just the ones where recognition changes the call: corporate accounts, wedding clients mid-planning, funeral homes, event planners, and regulars who order monthly. A short, accurate list beats a long stale one.
